Tips for Energizing Online Board Meetings
Release time:2024-04-17
Online board meetings can be a beneficial instrument for making informed decisions. If they’re not properly run, they can lead into boredom and low levels of engagement. Use these tips to energize your virtual meetings and increase your productivity.
The agenda should be shared prior to the meeting with all attendees to ensure that everyone understands what will be discussed. Consider asking your board members to tune in from a quiet space without distractions. Instruct participants to utilize the “raise hand function” of your software for virtual meetings when they wish to speak, so that they don’t risk over-talking or missing the point.
Establish a maximum time limit for each topic in order to keep the discussion focused on important topics. This allows everyone to participate and prevents discussions from going off-topic or distracting other participants. Encourage your board members to turn off their microphones when not speaking to minimize background noises including children, pets and colleagues.
Also, try to close the meeting in time, as this will show respect for your fellow board member’s time. It is also a good practice to release the minutes at the time the meeting is over. Additionally, it helps to streamline the process for recording and distribution of meeting minutes by using your software for managing boards that has built-in capabilities, such as inline task delegation.
This will ensure that all board members are on the same page as to what transpired at the meeting and what must be done between meetings.
